This Privacy Policy explains how Rizqtek ("we", "us", "our"), operating the service RenewalBot (accessible at renewal.rizqtek.com and amc.rizqtek.com), collects, uses, stores, and protects your information when you use our platform.
By using RenewalBot, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
1.1 Account Information
When you register for RenewalBot, we collect:
- Full name
- Email address
- Phone number
- Business/company name
- Password (stored securely in hashed form)
1.2 Contract & Customer Data
When you use RenewalBot to manage AMC contracts, you provide us with:
- Customer names
- Customer phone numbers (for WhatsApp reminders)
- Customer email addresses (for email reminders)
- Contract details (service type, start date, expiry date, amount)
This data is stored securely and used solely to deliver the reminder services you configure.
1.3 Usage & Analytics Data
We automatically collect:
- Browser type and version
- Pages visited and time spent
- IP address
- Device type
- Referral source
1.4 Payment Information
Payments are processed securely by Razorpay. We do not store your credit/debit card details. Razorpay's privacy policy applies to payment data: razorpay.com/privacy.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain RenewalBot services
- Send automated WhatsApp and email reminders to your customers on your behalf
- Process your subscription payments
- Communicate with you about your account, updates, and support requests
- Improve our service, fix bugs, and develop new features
- Comply with legal obligations
3. WhatsApp Messaging
RenewalBot uses the Meta WhatsApp Business Cloud API to send reminder messages to your customers. By using this feature:
- Messages are sent only to phone numbers you provide for your contracts
- Messages are strictly transactional (renewal reminders) — we do not send promotional or marketing messages
- Your customers can reply STOP at any time to opt out of receiving further messages
- We comply with Meta's WhatsApp Business Policy and Commerce Policy
- Message content is limited to contract renewal information and does not include any sensitive personal data beyond the customer's name and contract details
4. Email Communications
RenewalBot uses AWS Simple Email Service (SES) to send renewal reminder emails to your customers. These emails are transactional in nature and include:
- AMC contract expiry reminders
- Renewal confirmation notices
We also send emails to you (the account holder) for:
- Account verification and password resets
- Subscription and billing updates
- Service announcements
5. Data Storage & Security
- All data is stored on secure, managed cloud infrastructure (DigitalOcean)
- Database connections are encrypted with SSL/TLS
- Passwords are hashed using industry-standard algorithms (bcrypt)
- Access to production systems is restricted to authorized personnel only
- We implement regular security reviews and updates
6. Data Sharing & Third Parties
We do not sell, rent, or trade your personal data. We share data only with the following third-party services required to operate RenewalBot:
- Meta (WhatsApp Cloud API) — to deliver WhatsApp reminders
- Amazon Web Services (SES) — to deliver email reminders
- Razorpay — to process subscription payments
- DigitalOcean — cloud hosting and managed database
Each of these providers has their own privacy policies governing their handling of data.
7. Data Retention
- Your account data and contracts are retained for as long as your account is active
- After account deletion, we retain anonymized analytics data but permanently delete all personally identifiable information within 30 days
- Payment records may be retained as required by Indian tax and financial regulations
8. Your Rights
You have the right to:
- Access — Request a copy of all personal data we hold about you
- Correction — Request correction of inaccurate data
- Deletion — Request deletion of your account and associated data
- Export — Export your contracts and data in CSV format (available on Pro and Business plans)
- Opt-out — Your customers can opt out of receiving reminders at any time

9. Cookies
RenewalBot uses minimal cookies and local storage for:
- Authentication tokens (to keep you logged in)
- User preferences
We do not use third-party advertising or tracking cookies.
10. Children's Privacy
RenewalBot is a business tool and is not intended for use by individuals under 18 years of age. We do not knowingly collect information from children.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top. Continued use of RenewalBot after changes constitutes acceptance of the updated policy.
12. Governing Law
This Privacy Policy is governed by the laws of India, including the Information Technology Act, 2000, and the Digital Personal Data Protection Act, 2023 (as applicable).
